1. Who we are

Vital Vybez Limited ("we", "us", "our") is the data controller for personal data collected through our partner portal and website. Contact: [email protected].

2. What data we collect

When you apply to join our partner network, we collect: company name, contact name, email address, phone number, company registration number, website/social handles, and any information you provide in your application message.

When you leave your email address on our pre-launch page to be told when the shop opens, we collect that email address, the page you signed up from, and a one-way (hashed) marker derived from your IP address that we use only to stop abuse of the form. We cannot turn that marker back into your IP address, and we do not use it to identify you.

3. How we use your data

Your data is used solely to process and review your partner application, communicate with you about your application, and (if approved) manage your partner account. We do not sell or share your data with third parties for marketing purposes.

If you join the pre-launch list, we use your email address for one purpose: to tell you when the Vital Vybez shop opens, and to send occasional launch updates about it. You can unsubscribe from any email we send, at any time, and we will remove you from the list.

4. Legal basis

We process your data on the basis of your consent (given via the application form) and our legitimate interest in operating the Vital Vybez partner network.

For the pre-launch list we rely on your consent (UK GDPR Article 6(1)(a)), given by the checkbox on the signup form. You can withdraw it at any time by unsubscribing or by emailing us.

5. Data retention

Application data is retained for the duration of the application review process. If approved, your data is retained as part of your partner account. If rejected, your data is deleted within 90 days unless required for legal or tax purposes.

Pre-launch list data is held until the shop opens and for as long as you stay subscribed. If you unsubscribe, your address is removed from the list.

6. Your rights

Under UK GDPR, you have the right to: access your data, request correction, request deletion, withdraw consent, restrict processing, data portability, and lodge a complaint with the Information Commissioner's Office (ICO).

7. Data security

Your data is stored securely with access restricted to authorised Vital Vybez personnel. Payments are processed by Stripe (PCI-DSS compliant); we never store raw card details.

Our website and the pre-launch list are hosted on Cloudflare (Cloudflare, Inc.), which stores the data on our behalf as a processor and holds ISO/IEC 27001 and SOC 2 Type II certification. Access to the list is limited to authorised Vital Vybez personnel.

8. Contact

For any data protection request, email [email protected]. We respond to data subject access requests within 30 days.
